Privacy Policy | Copenhagen Trackers ApS
Copenhagen Trackers collects and processes personal data from your use of Copenhagen Trackers tracking devices, our website (cphtrackers.com), the CPH Trackers mobile application, and our API platform. This data architecture helps optimise your business operations and your everyday life. We believe that digital privacy is a foundational human right, and that you should always maintain the visibility and capacity to decide how your data is processed, used, and stored. This principle forms the core of our global privacy infrastructure.
1. Our Guiding Data Principles
Absolute Transparency
We make sure you know exactly what data from or about you we use, why we use it, how long it is retained, and who has the authorised capacity to process it. We grant you the rights to maintain complete control over your data. We consider data from or about you to be yours. We only use data for the explicit purposes you have granted us permission to execute, or that we have collected directly from you to fulfil our tracking services.
Dynamic Customer-Role Framework (GDPR Compliance)
Our regulatory role under the General Data Protection Regulation (GDPR) depends directly on your purchase profile. For individual private consumers (B2C) purchasing through our webshop, Copenhagen Trackers acts as the Data Controller, as we independently manage and determine the baseline purposes and technical means of our global tracking infrastructure. For our corporate business clients, resellers, and enterprise partners (B2B) utilising our systems for commercial fleet tracking operations, you remain the Data Controller, and Copenhagen Trackers acts as the Data Processor operating strictly pursuant to your operational instructions and our standard Data Processing Agreement (DPA). In both configurations, Copenhagen Trackers implements appropriate, high-tier technical and organisational security measures to protect data against accidental, unauthorised, or unlawful use, loss, alteration, disclosure, or misuse.
Data Protection and Minimisation
Your data is always yours. We secure and isolate your tracking data to prevent it from falling into the wrong hands. We do this by encrypting, anonymising, or pseudonymising your records across our databases. We store as little of your data as possible and retain it only for as long as necessary to fulfil our service delivery. When we no longer require your data, we destroy or irreversibly anonymise it so that it can no longer be linked to your identity. If you withdraw any previously granted permissions, we immediately halt the associated data processing tracks.
Because Copenhagen Trackers ApS is established and operated within Denmark, the General Data Protection Regulation (GDPR) always applies to our systems globally, ensuring one of the highest baselines of consumer digital protection in the world.
2. Definitions
Personal Data: Any information relating to an identified or identifiable natural person (registered user); an identifiable person is one who can be identified, directly or indirectly, by reference to an identification number or to one or more factors specific to their physical, physiological, mental, economic, cultural, or social identity.
Processing of Personal Data: Any operation or set of operations performed upon personal data, such as collection, recording, organisation, storage, adaptation, alteration, retrieval, consultation, use, disclosure by transmission, dissemination, alignment, combination, blocking, erasure, or destruction.
3. Legal Grounds for Data Processing
Copenhagen Trackers processes all personal data fairly, transparently, and lawfully. We only process personal data under the following verified conditions:
- The user has provided unambiguous, explicit consent;
- The processing is necessary for the performance of a purchase contract to which the user is a party (such as fulfilling a webshop order);
- The processing is necessary for compliance with a legal obligation to which Copenhagen Trackers is subject;
- The processing is necessary for the purposes of the legitimate interests pursued by Copenhagen Trackers, provided these do not override the fundamental rights, freedoms, and privacy laws of the user.
Copenhagen Trackers strictly refrains from collecting or processing sensitive data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union memberships, genetic data, health metrics, or sexual orientations.
4. Data and Telemetry We Collect
The categories of data we collect depend entirely on how you interact with our webshop, companion apps, and physical asset trackers:
A. Data You Explicitly Provide
This includes information you enter manually when configuring your accounts, buying products, or corresponding with our technical agents. This covers your name, email address, physical billing address, shipping address, telephone number, unique geofence custom labels, profile configurations, and any text included in customer support inquiries.
B. Data Collected by GPS Hardware and Sensors
Our tracking hardware (including the Cobblestone 2.0 and Gemstone lines) utilises multi-constellation GNSS and sensor clusters to perform their core protection functions. When these devices are active, they securely transmit the following telemetry to our cloud infrastructure:
- Precise geographic coordinates (Latitudes and Longitudes);
- Ambient or internal temperature readouts;
- Internal cell tower identifiers and mobile network connection metrics;
- Radio signal strength indicators (RSSI) and cellular frequencies;
- Motion vectors, acceleration alerts, and internal battery voltage diagnostics.
C. Metadata & Automated E-Commerce Logs
Our webshop and app platforms automatically generate metadata logs during user navigation. This includes your Internet Protocol (IP) address, unique device identifiers (IMEI/UUID), browser configurations, cookie logs, user interface click maps, item viewing histories, and shopping cart transaction details. Copenhagen Trackers completely refrains from selling or publishing your personal operational data to third-party brokers unless compelled under a binding European court order. We maintain the right to analyse and publish macro market statistics based solely on completely aggregated, anonymous operational metadata.
5. How We Share and Disclose Your Information
To provide a smooth, secure shopping and tracking experience, we share data with trusted service providers who operate strictly on our behalf:
- Shopify Inc.: Our online store is hosted and powered by Shopify. Shopify processes your access logs, account sign-ins, and transaction details to enable a secure payment gateway and smooth checkout flow.
- Logistics Partners: We securely transmit your name, contact phone number, and physical shipping address to our fulfilment couriers (GLS, FedEx, UPS) solely to execute physical package delivery.
- International Data Transfers: Copenhagen Trackers stores and processes data primarily within the European Economic Area (EEA). If metadata or transaction profiles are processed outside the EEA by our infrastructure partners, we ensure complete compliance with recognised transfer mechanisms, such as the European Commission's Standard Contractual Clauses (SCCs).
6. Your Rights and Choices (Data Erasure Mandate)
Depending on where you live, you possess clear, non-negotiable statutory rights regarding the personal data we maintain in our systems:
- Right to Access / Know: You can request a clear copy of all personal and telemetry records we hold regarding your profile.
- Right to Correct / Rectify: You maintain the capacity to amend or correct inaccurate personal data within your account configuration at any time.
- Right to Portability: You can request that your data records be extracted and transferred seamlessly to another operational system via our open API framework.
- Right to Object or Restrict Processing: You can request that we stop or restrict the processing of your data files for specific marketing or analytical purposes.
- Right to Delete (Data Erasure Mandate): In strict compliance with the European GDPR "Right to be Forgotten," you have the absolute right to demand a permanent data purge. Before disposing of a device or transferring tracking hardware ownership, you are legally obligated to execute this purge.
To initiate an immediate, irreversible, server-side complete data wipe of all your historical tracking records, location coordinates, sensor logs, and personal profile linkages, please contact our Data Protection Officer directly at: co@cphtrackers.com.
7. Security and Data Retention Limits
Copenhagen Trackers utilises high-grade database encryption, secure APIs, and transport layer security (SSL) to protect your assets from unauthorised access, loss, or intrusion. However, no digital transmission channel can ever be guaranteed as "perfectly secure," and we urge users to keep their tracking account login credentials completely confidential.
We maintain your personal tracking histories and device accounts only for as long as your profile remains active or as required by European tax laws and technical safety frameworks. Should you wish to permanently delete your Copenhagen Trackers account and all associated asset configurations, please reach out to our primary support department.
8. Compliance Complaints and Regulatory Contacts
If you are not satisfied with how we handle your digital data rights or wish to escalate a complaint regarding our data organisation, you can file a formal complaint with your national data protection supervisory authority:
- Denmark (Lead Authority): Datatilsynet, Carl Jacobsens Vej 35, 2500 Valby, Denmark (www.datatilsynet.dk)
- EU / EEA Residents: You maintain the statutory right to lodge an appeal directly with your local national data protection inspectorate.
- United Kingdom Residents: Information Commissioner's Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF (www.ico.org.uk)
